GENERAL STATEMENT
The Administrative Assistant performs program and administrative support to the Avon Police Department, all of which are delegated by the Chief of Police, and are performed in the following areas: Records Management, Operations Administration, and Community Outreach Programs.

The Administrative Assistant must process a variety of detailed and complex clerical transactions/records requiring knowledge of diverse departmental policies, procedures, activities, goals and objectives. The Administrative Assistant must interact with a variety of citizens to include: walk-in traffic, other law enforcement agencies, and the judicial branches of the state.

Reports to and works under the direct supervision of the Chief of Police.

WORK ENVIRONMENT
Work is performed in a standard office environment; may be subject to outside weather conditions and contact with persons with highly contagious diseases.
ESSENTIAL FUNCTIONS
Records Management
 Produces records for the general public, outside agencies and police jurisdictions and in compliance with federal and state guidelines
 Maintains a records retention schedule pertaining to police records such as the traffic and criminal summons, case files, confidential informant files, arrest and warrant files, administrative files, and accounts payable/receivable
 Coordinates the flow of information between the records unit, courts, and other law enforcement agencies

Operations Administration
 Performs numerous administrative duties that support police department operations and programs
 Provides timely and professional customer service in response to inquiries from citizens, guests, co-workers, supervisors, and other outside agencies that contact the Police Department
 Provides administrative support to the office of the Chief of Police and other officers
 Performs VIN inspections for the general public
 Maintains court schedules for all officers and interacts with the prosecution, defense attorneys, the public and all statewide courts
 Assists in the implementation of departmental goals and objectives
 Assists in analyzing procedures, forms, and computer systems to identify problems and proposes solutions to streamline processes

Community Outreach Programs
 Attends various meetings at the direction of the Chief of Police to record the minutes and action taken
 Participates in meetings as assigned by the Chief of Police to represent the police department
OTHER DUTIES AND FUNCTIONS
 Provides required information to outside agencies as required by law
 Performs fingerprinting services for general public
 Performs other duties and responsibilities as assigned
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
 Knowledge of records management and practices of office management
 Solid knowledge of pertinent Federal, State and Local laws, codes and regulations
 Ability to administer an effective and legal records management system
 Ability to establish and maintain effective working relationships with those contacted in the course of work including town officials, the public, town employees and other agencies and courts
 Ability to proficiently use a word processor
 Ability to communicate clearly and concisely, both verbally and in writing, with different agencies, personnel, and community members
 Ability to learn and operator various software programs and equipment including Microsoft Office Suite, copier, fax machine, telephone, etc.

EDUCATION AND EXPERIENCE
Must be 21 years of age at time of appointment, a United States Citizen or permanent resident alien and possess a high school diploma or equivalent with experience as a secretary or administrative assistant in a law enforcement agency. Must be able to pass a polygraph exam and extensive background investigation.

Employment is contingent upon successfully passing a pre-employment drug and alcohol test and may be subject to random, unannounced drug and alcohol testing as outline in the Town’s Drug & Alcohol Policy.

Hiring range is $15.94 – $17.83, depending on qualifications. The Administrative Assistant salary range is $15.94 – $20.20, and updated periodically based on comparable resort municipalities. Retirement benefits and an individual recreation pass are included. The position of Administrative Assistant is deemed non-exempt under FLSA overtime requirements.
