Payroll Administrator/Office Manager

Orchestrate Healthcare (OHC) is a healthcare IT consulting company. We maintain a small administrative office in Carbondale, CO. Our sales team, recruiters and consultants live across the country. The position of Payroll Administrator/Office Manager is a multi-faceted role that requires a great deal of agility and attention to detail. The role reports to the Controller and the Company President. The Payroll Administrator/Office Manager regularly interfaces with OHC employees assisting with payroll, expenses and benefits questions and issues. Excellent phone presence is required, as well as creative problem solving skills and initiative. Below are the functions that will be performed:

Payroll:
• Process payroll using Paycom.com
• Onboard and offboard employees into payroll system
• Provide employees with assistance recording time and expenses
• Become subject matter expert of Paycom.com for the company
• Create/audit reports
• Review employee timesheets and expense records for accuracy

Benefits:
• Assist new employees who are enrolling in benefits
• Work with company’s benefits vendors regarding open enrollment and troubleshooting employee issues
• Monitor Medical, Dental, Vision & Life, 401(k) and HSA
• Work within website portals for the benefits vendors
• Assist employees with benefits issues that arise

Office Manager
• Answer phones for company (RingCentral system)
• Maintain office supplies and office equipment
• Provide administrative support for OHC President
• Maintain paper and electronic filing systems (Sharepont site)

Accounts Receivable
• Conduct collection calls with clients who are late with payment
• Maintain report of AR aging accounts
• Post payments to QuickBooks
• Create AR reports in QuickBooks
• Assist Controller with invoicing

Preferred experience:
• Post-secondary accounting/bookkeeping education
• 2+ years of administrative, bookkeeping and/or accounting experience

Requirements:
• US Citizen or Permanent Resident
• Available to work core business hours 8 am to 5 pm Monday through Friday – role is 32-40 hours/week
• Excellent English speaking/writing skills
• Ability to lift 15 pounds
• Must have high school degree or GED
